Our opportunity for you: 

We have an exciting opportunity for an experienced professional as Senior Transfer Agent.

 

Main responsibilities:

  • Prepare, review and sign off of investor onboarding documentation (FATCA/CRS files, application forms and due diligence of investor AML/KYC files)
  • Prepare and review investor statements, call and distribution notices as well as investor payment instructions
  • Assist the Team Leader in the preparation of Annual Review Plan and Audits
  • Execute an review cash reconciliations for incoming and outgoing funds
  • Monitor the investigation and resolution of fund related queries process
  • Highlight any risk areas and draft and implement procedures in order to mitigate the risks
  • Ensure all tasks are completed timely and accurately
  • Communicate promptly with client/investor to ensure all application forms and transfer documents are received and accurate
  • Prepare and review investor transaction notes/monthly valuation statements
  • Execute and review investor transactions (subscriptions, redemptions)
  • Prepare and review of client and investor reporting, audit requests and ad-hoc client requests
  • Work in close collaboration with the operational teams
  • Update all client and investor registration details into our Vistra Client database
  • Review and approve transactions into the Transfer Agency system
  • Report any suspicious behaviour in relation to AML guidelines to the Team Leader/Compliance Director
  • Work on various ad-hoc project
  • Record the working hours/client in the time billing system according to the objectives set

 

As a senior, we expect you to coach, develop and serve as a role model for members of your team:

  • Share your knowledge and experience with your direct colleagues 
  • Coach and review the work of the (Associate) Transfer Agents within your team
  • Be a buddy for new joiners in the team, in order to train and guide them


Attributes/Technical Skills:

 

  • Build and maintain effective relationships with colleagues, clients and third parties including lawyers, bankers, tax advisors and notaries
  • Be a team player and be supportive towards your colleagues
  • Take initiative by proactively following up on daily matters
  • Anticipate potential queries and issues. Address these queries in a timely manner by informing the responsible Team Leader and/or any other Vistra officer
  • Share your knowledge and experience with your direct colleagues
  • Be a role model to less senior colleagues in terms of professionalism and behaviour
  • Maintain communication with clients
  • Ensure that client deadlines are met
  • Adhere to internal procedures at all times
  • Build up an in-depth knowledge of your portfolio of clients, i.e. background, purpose and structure

 

Relevant Experience:

 

  • Strong knowledge of KYC/AML processes and procedures
  • Minimum of 5 years of experience with a professional services firm
  • Excellent communication and organisational skills in order to meet tight deadlines
  • Strong relationship management skills
  • Proactive with a client service orientated attitude
  • Ability to develop and grow our commercial business activity
  • Ability to solve problems, work independently and as a member of a team
  • University degree in Finance and/or in Economics (ACAMS AML certification would be a distinct advantage)
