We have an exciting opportunity for you to join our team as Senior Manager, based in our Luxembourg office.


Key responsibilities:


Supervise client servicing:

  • Be a key contact person for new and existing clients and their advisers in collaboration with the relationship management team
  • Provide impeccable and professional service to clients at all times
  • Review invoicing information system to ensure accuracy of invoices issued to the clients
  • Timely debt collection (45 days)
  • Develop and promote in depth knowledge of clients’ services within the team
  • Ensure compliance (internal and external) is properly adhered to at all times
  • Take-up directorships/mandates on Luxembourg entities where required
  • Record the working hours/client in the time billing system according to the objectives set, and monitor accurate time writing by both local and internal service provider’s teams is accurate


Supervise, coordinate and coach the different members of your team:

  • Organise the work of your team members: portfolio allocation, allocation of administrative support, monitoring workload of all team members, supervise holiday plans, ensure back up and hand over
  • Co-ordinate the deliverables of the local and internal service provider’s teams in line with service level agreements
  • Conduct daily huddles and weekly meetings with the team - encourage positive and pro-active cooperation between teams
  • Provide relevant training courses to team members on various subjects
  • Review the time recording and chargeability of the team members to ensure profitability of the portfolio
  •  Maintain an open, positive, dynamic, and constructive team atmosphere and be available to answer all business related questions coming from your team members
  •  Set team OKR’s in accordance with the Management Team at the start of each calendar year and ensure a follow-up two to three times a year
  •  Responsible for first line HR questions (i.e. holiday’s approval, sick leave follow up…)
  •  Monitor KPIs (in accordance with service level agreements)


Responsible for the implementation and the achievement of budget and promotional plans of your team:

  • Set team OKR’s in accordance with the Management Team at the start of each calendar year and ensure a follow-up two to three times a year
  • Follow up on chargeability on a weekly basis
  • Follow up on sales and promotional plan for identified team members
  • Follow up on business development activities that correspond to your teams’ portfolio


Develop new business through means of marketing and sales:

  • Understand Vistra’s service offerings
  • Identify opportunities for up/cross sales globally
  • Attend seminars, conferences and business development initiatives
  • Client visits and questionnaires completion to both existing as well as clients to be developed
  • Maintain and grow your network


Develop a thorough knowledge of the business:

Remain up to date on the following topics:

    • AML/CFT Regulations
    • AML/KYC Policy of Vistra
    • Alternative Investment Industry
    • Market developments
    • Client file knowledge


Key Requirements:

  • Strong relationship management
  • Proactive and flexible with a client service orientated attitude
  • Ability to deal with multiple tasks requested at the same time
  • Ability to develop and grow our commercial business activity
  • Minimum 7 years of experience within a Private Equity department
  • Minimum 3 years of experience of managerial experience
