We have an exciting opportunity for you to join our team as Senior Associate Corporate Services, reporting to the Director. This role is based in Barbados and has a local focus enabling you to make a significant impact to our Barbados business and its growth.


 

 

Purpose of Role

 

A Senior Associate – Corporate Services engages in direct provision of corporate administration and client service in the Department.  The Senior Associate also works under the supervision of the Director/Manager. Client service support may also be provided to others on the management team, as required and in some respects to the Business Services and Tax/Compliance Departments.

  • Participate in relevant continuous learning for professional and personal development via internal and external training programs as required (Compliance, AML, Cyber Security, Mandatory Readings, Vistra Skills Portal etc)

  • Demonstrate ongoing interest in enhancing industry related knowledge and working towards subsequent levels in career path. 
  • Participate and co-ordinate, as assigned, the duties and assignments under the Company’s centralized unit (REACT Team).

 

 

Client Service Revenue (Internal and External Client Service)

 

  • Develop and service a portfolio of clients under the guidance of the Director/Senior Associates 
  • Preparation of letters and other corporate documents
  • Preparation of minutes of Board and Shareholder meetings and resolutions 
  • Provide direct support in corporate administration and client service to the Director/Senior Associates (SAs) as required. 
  • Assist with the updating of client information and other information in the Company’s practice management systems and databases. 
  • Co-ordinate preparations for meetings, Board books and other related tasks.
  • Assist with the filing of client information and general research topics.
  • Ensure there is common and equitable delivery of committed compliance requirements and deadlines for clients. 
  • Assist with the preparation of bulk and individual Foreign Currency Permit Applications and Renewals  
  • Assist with the local governance and national compliance frameworks in respect of ultimate beneficial ownership.
  • Liaise with bankers and clients and ensure documents and other information relating to bank accounts etc are forwarded to clients. 
  • Assist with responses to clients on compliance requirements and conditions.
  • Providing to the appropriate government authorities the requisite forms, applications and other information to achieve the incorporation, organisation or registration, ongoing compliance and/or licensing or dissolution of corporate entities.
  • Assist with the relief duties related to front office management and records management and receiving of handovers during planned absences.    

 

 

Operational Excellence/EBITDA (Risk & Exposure Management, Compliance)  

 

  • Engage in the pertinent function of charging time for revenue reporting
  • Ensure the timely submission of time sheets
  • Ensure the timely finalising of billings on completion of an assignment or the issuing of interim invoices during the course of a lengthy assignment
  • Entry and applications and renewal of business permits and other approvals and regulatory filings in online Government and regulator portals.
  • Joint/independent triggering, management and oversight of annual recurring compliance points and timelines for clients.  
  • Support of Onboarding, Engagement, and Exposure Management functions.
  • Show a keen interest in keeping up-to-date with advanced features of software 
  • Portfolio support on the absence of Senior Associates from office as required
  • Assist with general office day-to-day operational duties as required

 


Core Competencies

 

  • A working knowledge of some key industry legislation such as the Companies Act.  
  • A working knowledge of corporate administration and the industry of international financial services.
  • Ability to effectively apply technical and professional knowledge to work and client situations and provide creative solutions

  • Ability to work with a team of Senior Associates and others across the Company

  • High level of computer literacy 
  • Willingness to undertake further courses of study and professional designations where required

 

 

Minumum Requirements

 

  • Para Legal or Corporate Administration/Secretarial Certificate.
  • A university degree in a relevant discipline, preferably Business, Management Studies or Law or relevant qualification would be an asset.
  • Membership or enrolled in the Corporate Governance Institute (CGI) formerly (ICSA) or other similar professional body would be an asset.
  • A minimum of five years’ work experience in a professional services/corporate/legal office environment
