Purpose of the role
To provide administrative support in managing a portfolio of approximately 400 registered office-only companies, while also assisting the wider Company Secretarial team.
Scope
This role will be part of a team of 9 individuals within our Company Secretarial department, providing company secretarial services to a varied client base and will be reporting to Associate Director, Company Secretarial. This role is fully office based in our Bristol location.
Key responsibilities
• Provide high quality services to a portfolio of c.400 registered office only companies
• Provide administrative support to the wider Company Secretarial department, including:
- Arranging for annual accounts to be filed with Companies House
- Assisting with mail forwarding
- Handling file closures
- Assisting with setting up new files
- Keeping client lists and systems up to date and accurate at all times
• Be fully conversant with the relevant systems and procedures of the Company Secretarial department and identify areas where systems and procedures can be developed.
• Work with colleagues to ensure that the work processes of the Company Secretarial department are carried out efficiently and effectively.
• Support the Associate Director, Company Secretarial in delivering against SLAs agreed for each client with best-in-class services.
• Ensure prompt and proper billing against all client engagements.
• Ensure that files are compliant with current money laundering regulations, conduct ongoing client contact to ensure that the customer due diligence information requested is received within a reasonable time frame.
• Maintain systems that enable us to manage and control customer due diligence activity and reporting all concerns in respect of suspicion of money laundering activity to the Compliance Officer.

Relevant Experience
Essential:
• Minimum two years’ experience in an administrative / office-based role.
• Computer literate with specifically strong knowledge of Word, and Excel and Teams.
Education and Professional Qualification
Desirable: educated to degree level
