We have an exciting opportunity for you to join our team as Sales Support Specialist. This is full time and permanent position is based in Warsaw allowing you to make a significant contribution to our business and its' growth.

 

Role Purpose

 

The Sales Support Specialist is responsible for supporting the sales team throughout the sales lifecycle by managing administrative, commercial, pricing, CRM and operational activities that enable sales professionals to focus on client engagement, pipeline generation and closing revenue opportunities.

 

The role acts as an operational extension of the sales team, taking ownership of non-client-facing activities that consume significant sales time, including Salesforce opportunity administration, pricing preparation, internal approval coordination, documentation, project setup follow-up and SAP readiness checks.

 

Working closely with Sales, Pricing, Finance, Project Controllers and Operations teams, the Sales Support Specialist plays a critical role in improving sales productivity, enhancing CRM data quality, reducing operational rework and accelerating the conversion of opportunities into revenue-generating projects.

 

 

Key Responsibilities:

 

Salesforce Administration

 

  • Ensure opportunities are accurately captured and maintained within Salesforce.

  • Maintain CRM data quality, completeness and governance standards.

  • Monitor pipeline hygiene and mandatory field completion.

  • Support sales teams with opportunity creation, updates and process guidance.

  • Create, maintain and cleanse account and contact records.

  • Prepare quotes, fee schedules and standard commercial documentation.

  • Coordinate internal approvals, governance requirements and follow-up actions.

  • Track deal progression and proactively chase outstanding items required to move opportunities forward.

  • Support contract administration, document management and records filing.

  • Ensure accurate forecasting information is maintained for sales reviews.

  • Produce regional salesforce reports and insights to support commercial reviews.

  • Act as a first-line support contact for Salesforce process and data-related queries for assigned regions.

 

Small Deal Management

 

  • Manage lower-value opportunities, typically under $10,000 ACV, through the sales process

  • Coordinate opportunity setup, documentation, quote preparation and approvals.

  • Ensure all commercial and operational information is complete before handover.

 

Project Setup & SAP Readiness

 

  • Work closely with Project Controllers and Finance teams to ensure opportunities are correctly translated into downstream operational systems.

  • Validate sold-to, bill-to, customer entity and servicing entity information before handover.

  • Ensure all required information is available for project creation and billing setup.

  • Support the transition from Closed Won opportunities to project implementation.

  • Investigate and resolve discrepancies between Salesforce records and operational systems.

  • Minimise project setup, invoicing and billing delays through proactive data validation and follow-up.

 

Cross-Functional Coordination

 

  • Act as a central coordination point between Sales, Pricing, Finance, Project Controllers and Operations.

  • Track and manage internal actions required to progress opportunities.

  • Escalate process bottlenecks, operational risks and data quality issues.

  • Ensure smooth handover from Sales to delivery, onboarding and billing teams.

  • Support continuous improvement of sales administration and opportunity-to-revenue processes.

  • Hours of administrative activity removed from sales teams.

  • Number of opportunities administered on behalf of sales.

  • Increase in sales-facing activity capacity.

 

Commercial Operations

 

  • Opportunity setup turnaround time.

  • Quote preparation turnaround time.

  • Pricing accuracy.

  • Internal approval cycle times.

 

Salesforce & Data Quality

 

  • CRM data completeness and accuracy.

  • Forecast accuracy.

  • Pipeline hygiene compliance.

  • Salesforce governance adherence.

 

Project Setup & Revenue Readiness

 

  • Project setup accuracy.

  • Reduction in billing setup issues.

  • First-time-right opportunity handovers.

  • Reduction in operational rework.

 

Skills and Experience:

 

Essential

 

  • 3+ years' experience in Sales Support, Sales Operations, Commercial Operations, Deal Desk or Revenue Operations.

  • Experience using Salesforce or equivalent CRM systems.

  • Strong administrative and organisational skills.

  • Excellent attention to detail and process discipline.

  • Strong numerical and analytical capability.

  • Experience supporting pricing, quoting or commercial processes.

  • Advanced Microsoft Excel skills.

  • Ability to manage multiple stakeholders, competing priorities and deadline-driven tasks.

 

Desirable

 

  • Experience working with SAP or other ERP platforms.

  • Understanding of project setup, billing and revenue processes.

  • Experience in professional services, financial services or B2B environments.

  • Knowledge of sales governance, approval frameworks and opportunity-to-revenue processes.

 

 

Success in the Role:

 

The successful candidate will act as an extension of the sales team, improving commercial efficiency and releasing significant sales capacity by removing administrative workload from revenue-generating staff. The role will help drive better CRM discipline, faster opportunity progression, improved pricing and approval accuracy, cleaner project setup and greater focus from sales teams on winning and growing client relationships.
