We have an exciting opportunity for you to join our team as Receptionist / Secretary. Reporting to the Head of Facilities, this full-time and temporary position is based in Mauritius.
Key responsibilities:
- Provide a professional reception service by greeting and welcoming staff, visitors and customers, offering assistance and direction as required.
- Handle all incoming phone calls by answering, screening and directing them to the appropriate person or department.
- Manage the uploading of DHL courier to the DHL website.
- Provide basic and accurate information in-person and via phone/email.
- Provide an FM Helpdesk function at the reception to deal with all facilities related issues, requests, and queries.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
- Order office supplies (stationery, pantry, and boardroom) and keep inventory of stock.
- Perform other clerical receptionist duties such as boardroom & meeting room bookings, filing, photocopying and transcribing.
- Taxi booking for visitors and Senior Management.
- Support business operations by completing additional tasks as required
Key requirements:
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. printers)
- Professional attitude and appearance
- Good written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Multitasking and time-management skills, with the ability to prioritize tasks
- Minimum 6 months experience as a Receptionist, Front Desk Representative or similar role
