Role Summary

The PMO / Migration Coordinator is responsible for providing structured project coordination and governance support across migration programmes. This role ensures seamless tracking of actions, dependencies, risks, and deliverables while maintaining clear communication and documentation standards across all workstreams. Reporting to the Senior Manager migrations, this full-time permanent role is based in Foshan and supports regional and global stakeholders. The role drives migrations across Business Services (Finance & Accounting, Payroll), Corporate Services and other back-office functions, partnering with internal leaders and, where required, external clients to deliver scalable and sustainable transition outcomes.

What success looks like:

  • Full understanding of the programme landscape, stakeholders, and active workstreams
  • Taken ownership of the RAID log and action tracker with no gaps in currency
  • Established a rhythm for weekly reporting and governance cadence
  • Built initial relationships with key workstream leads and delivery teams
  • Zero overdue actions without escalation or follow-up
  • Established a documentation repository
  • Operating with minimal supervision, anticipating needs before they arise

 

Key Responsibilities

  • Maintain and update action logs, ensuring all tasks are assigned to owners, due dates, and priority levels
  • Track inter-workstream dependencies and flag potential blockers or delays proactively
  • Follow up with action owners to ensure timely closure and escalate overdue items
  • Maintain a centralized tracker for all open/closed actions across project phases
  • Own and maintain the RAID log (Risks, Assumptions, Issues, Dependencies)
  • Track milestone progress against baseline plans and highlight variances to the migration lead
  • Support governance meetings with agenda preparation, minutes, and action follow-ups

  • Create and maintain templates for recurring project deliverables
  • Serve as the central coordination point across technical, business, and vendor teams

 

Experience and capability

  • 3–5 years’ experience in a PMO, project coordination, or migration programme support role in a BPO, GBS, Share service or a similar setup
  • Strong project and transition management capability, with experience in governance, integrated planning, milestone tracking, RAID management.
  • Ability to manage multiple trackers and logs with precision
  • Thrives in fast-paced, evolving programme environments
  • Comfortable engaging with operations team locally and cross-functional teams (HR, IT, Admin)
  • Strong communication, stakeholder engagement, and influencing skills.

 

Key Requirements

  • Bachelor's degree in Business, IT, Project Management, or related field
  • Familiarity with PMP/ Prince2 frameworks and change management processes
  • Able to work effectively across multiple deadlines in a fast-paced environment.
  • Strong written and verbal communication skills, with the ability to present information clearly and professionally to different audiences.
  • Highly organized, detail-oriented, and disciplined in follow-through.
  • Resilient and adaptable, with a strong sense of ownership and accountability.
  • Strong business English & Mandarin, both written and verbal.
