We have an exciting opportunity for you to join our team as Operations Assistant. Reporting to the Director, Marine & Aviation, this full-time and permanent position is based in Malta and offers regional coverage, allowing you to make a significant impact to our Private Wealth and its’ growth.

 

The Operations Assistant will oversee and streamline business operations to ensure efficiency, compliance, and growth across various departments. This role requires a dynamic leader with expertise in management, corporate development, and business development. The Operations Assistant will play a key role in structuring corporate processes, adhering to Anti-Money Laundering (AML) legislation, and ensuring seamless client onboarding.
 

 
Key responsibilities:

 

  • Oversee daily operations across departments, ensuring efficient workflows.
  • Implement and improve business processes in line with corporate structures to support business growth.
  • Manage and develop corporate governance frameworks to support the company's strategic goals.
  • Coordinate with cross-functional teams to ensure the successful execution of business plans.
  • Create operational strategies that align with long-term business goals and ensure regulatory compliance.
  • Develop and monitor performance metrics for operational success.
  • Solve operational issues quickly and efficiently, providing strategic insights into improvements and solutions.

 


Clients and Commercial

  • Management of the client database.
  • Manage client day-to-day operations, as well as other ad hoc requests.
  • Other related duties as may from time to time be reasonably required.


Service Delivery 

  • Works closely with the entire Marine & Aviation team, to ensure the quality of client services and adherence to their requirements in compliance with the relative laws.


Regulatory and Corporate Governance

  • Keeping abreast of developments in Seamen’s legislation, maritime and aviation legislation and other relevant laws to ensure that the Vistra Group complies with the respective regulations for the jurisdictions in which we operate.
  • Uphold Vistra’s values by promoting a culture of professionalism, teamwork and equality

 

Key requirements:

  • MBA or equivalent advanced degree in business, operations management, or a related field.
  • Proven experience in operations management, corporate structures, and business development.
  • In-depth knowledge of Anti-Money Laundering (AML) legislation and its application in corporate environments.
  • Experience with client onboarding processes and operational best practices.
  • Strong character and leadership capabilities of working in a dynamic organisation.
  • Excellent problem solver with the ability to think critically and adapt quickly.
  • Proven track record of delegation skills to manage multiple teams and projects effectively.
  • Ability to collaborate with cross-functional teams to meet organizational goals.
  • Hands-on and with attention to detail. 
  • Culturally sensitive and experienced in dealing with multiple nationalities, business cultures
  • Ability to think strategically under pressure.
  • Excellent communication and interpersonal skills, with the ability to build relationships with clients and stakeholders.
  • Previous Experience in Management in Corporate and/or Business Developmentus.
