Our opportunity for you: 

 

We have an exciting opportunity for an experienced professional as Senior Manager to join us! 

You will be responsible to be a key contact person for new and existing clients and their advisers in collaboration with the relationship management team. Provide impeccable and professional service to clients at all times.

You are also responsible to organise the work of your team members: portfolio allocation, allocation of administrative support, monitoring workload of all team members, supervise holiday plans, ensure back up and hand over direction of the Director Client Services as per the below.

 

Supervise client servicing:

 

  • Be a key contact person for new and existing clients and their advisers in collaboration with the relationship management team
  • Provide impeccable and professional service to clients at all times
  • Review invoicing information system to ensure accuracy of invoices issued to the clients
  • Timely debt collection (45 days)
  • Develop and promote in depth knowledge of clients’ services within the team
  • Ensure compliance (internal and external) is properly adhered to at all times
  • Take-up directorships/mandates on Luxembourg entities where required
  • Record the working hours/client in the time billing system according to the objectives set, and monitor accurate time writing by both local and internal service provider’s teams is accurate

 

Supervise, coordinate and coach the different members of your team:

 

  • Organise the work of your team members: portfolio allocation, allocation of administrative support, monitoring workload of all team members, supervise holiday plans, ensure back up and hand over
  • Co-ordinate the deliverables of the local and internal service provider’s teams in line with service level agreements
  • Conduct huddles and weekly meetings with the team - encourage positive and pro-active cooperation between teams
  • Develop in depth knowledge and skill set of team members with respect to capital market structures and securitisation transactions and coach individual team members 
  • Supervise the quality and correctness of the deliverables of individual team members
  • Ensure deliverables of the team members are provided to the clients within the agreed or expected timeframe (typically 24 hours for ad hoc requests)
  • Provide relevant training courses to team members on various subjects
  • Review the time recording and chargeability of the team members to ensure profitability of the portfolio
  • Maintain an open, positive, dynamic, and constructive team atmosphere and be available to answer all business related questions coming from your team members
  • Set team OKR’s in accordance with the Management Team at the start of each calendar year and ensure a follow-up two to three times a year
  • Responsible for first line HR questions (i.e. holiday’s approval, sick leave follow up…)
  • Monitor KPIs (in accordance with service level agreements)

 

Responsible for the implementation and the achievement of budget and promotional plans of your team:

 

  • Set team OKR’s in accordance with the Management Team at the start of each calendar year and ensure a follow-up two to three times a year
  • Follow up on chargeability on a weekly basis
  • Follow up on sales and promotional plan for identified team members
  • Follow up on business development activities that correspond to your teams’ portfolio

 

Develop new business through means of marketing and sales:

 

  • Understand Vistra’s service offerings
  • Identify opportunities for up/cross sales globally
  • Attend seminars, conferences and business development initiatives
  • Client visits and questionnaires completion to both existing as well as clients to be developed
  • Maintain and grow your network

 

Develop a thorough knowledge of the business:

 

Remain up to date on the following topics:

  • AML/CFT Regulations
  • AML/KYC Policy of Vistra
  • Capital Markets and Securisation
  • Alternative Investment Industry
  • Market developments
  • Client file knowledge

 

Abilities and Behavioural competencies:

  • Build and maintain effective relationships with colleagues, clients and third parties including lawyers, bankers, tax advisors and notaries
  • Offer leadership, managerial direction, guidance, coaching and support to the team members
  • Share your knowledge and experience with your direct colleagues
  • Be a role model to team members and less experienced colleagues in terms of professionalism and behaviour
  • Take responsibility and lead by example
  • Make sure that your deadlines are met

  • Maintain communication with clients
  • Adhere to internal procedures at all times
  • Build up an in-depth knowledge of your portfolio of clients, i.e. background, purpose and structure

 

Relevant Experience:

  • Law, Business education at University level
  • Minimum 7 years of experience within a capital market department
  • Minimum 3 years of experience of managerial experience
  • Strong relationship management
  • Proactive and flexible with a client service orientated attitude
  • Ability to deal with multiple tasks requested at the same time
  • Ability to develop and grow our commercial business activity
  • Ability to solve problems and demonstrate excellent communication skills
