Job Overview
The Associate will report directly to the Executive Director and will be responsible for the effective administration of a portfolio of trusts and corporate structures. The role will involve providing high-quality client service, responsibility for the day-to-day administration of trusts and their underlying companies, supporting business development and onboarding activities, and providing guidance to junior members of the team.
The successful candidate will demonstrate strong technical knowledge of BVI trusts and corporate structures, excellent client relationship and communication skills, sound judgment, attention to detail, and the ability to manage multiple priorities within a regulated fiduciary environment
Key Responsibilities
Company and Trust Administration
- Manage a portfolio of internal and external clients, providing effective and timely administration of a mixed portfolio of trusts and companies as well as corporate directorships.
- Provide guidance, support, and oversight to junior members of the BVI team in relation to client matters and day-to-day administration.
- Act as a key point of contact for clients, maintaining strong and professional relationships and ensuring that client needs and requests are addressed promptly and appropriately.
- Meet with prospective and existing clients and their professional advisors to understand their requirements and provide appropriate guidance within the scope of the role.
- Ensure the timely and efficient delivery of services in accordance with client expectations, internal procedures, and applicable regulatory requirements.
- Keep entity records accurate, complete, current, and in good order.
- Ensure that entities remain in good standing and that statutory and administrative obligations are met within the required deadlines.
New Business and Client Onboarding
- Assist with new business enquiries and support the development of prospective client relationships.
- Coordinate the onboarding of new clients, including gathering and reviewing required information and documentation.
- Prepare and present new business proposals or client matters to the Directors for consideration and approval.
- Work closely with internal stakeholders and external advisors to ensure that new client structures are established efficiently and in accordance with applicable policies and regulatory requirements.
Client Relationship Management
- Respond to client enquiries accurately, professionally, and promptly, ensuring that clients are kept appropriately informed of progress, anticipated timelines, and costs.
- Proactively manage client expectations and identify potential issues or delays, escalating matters to management where appropriate.
- Develop and maintain strong working relationships with clients, their advisors, and other relevant stakeholders.
- Exercise appropriate judgment and discretion when handling confidential client and trust information.
Compliance and Regulatory
- Work closely with the Compliance Team to ensure that trust and company files comply with applicable anti-money laundering, regulatory, and internal compliance requirements.
- Conduct ongoing client communication to ensure that required customer due diligence and other compliance information is obtained and maintained within appropriate timeframes.
- Identify and escalate potential compliance, risk, or governance issues in accordance with internal policies and procedures.
- Ensure that relevant filing, reporting, transaction, and statutory deadlines are monitored and met in a timely manner.
Corporate and Transactional Support
- Work with relevant team members to coordinate the preparation and execution of corporate documents, resolutions, agreements, correspondence, and invoices.
- Liaise with relevant members of the wider Vistra Group, as well as external legal, accounting, tax, and other professional advisors, as appropriate.
- Coordinate the administration of client transactions and corporate actions to ensure they are completed accurately, efficiently, and within agreed timelines.
- Monitor outstanding matters and proactively follow up with internal and external stakeholders to ensure timely completion.
Projects and Business Support
- Undertake ad hoc projects and assignments as directed by the Executive Director or management.
- Lead or participate in special projects and initiatives as required.
- Identify opportunities to improve processes, enhance client service, and increase the efficiency and effectiveness of the team.

Qualifications and Experience
- STEP qualification or degree in in law, finance, accounting, trust administration, or a related field.
- 3-5 years of experience in trust and corporate administration, within a regulated fiduciary or professional services environment
- Strong knowledge of BVI trusts, companies and applicable regulatory and compliance requirements.
- Proficiency in Microsoft Office Suite and Viewpoint.
