Facilities Officer

Vistra Jersey is looking to employ a Facilities Officer to provide facilities administration support for key internal Vistra Committees, this role will be based in Jersey, Channel Islands. The Facilities Officer will also require regular travel to Guernsey and will be responsible for both sites.
Key Responsibilities:
Responsibilities are varied but typically include: -
- Formal management of the CI Facilities team
- Maintain both Jersey and Guernsey Facilities Induction presentations and key liaison for joiners and leavers.
- H&S key person and policy owner
- Key contributor to the BCP Policy and obligations
- Facilities Third Party Vendor / Contracts management and liaison
- General facilities administrative tasks / liaison, using Word, Excel and Outlook – maintaining various trackers, invoice management etc
- Ensuring own/team administrative tasks are completed timely and accurately with harmonisation
- Oversight of Scanning/Filing/Archiving deliverables
- Manage Retention/Data destruction policy compliance
- Premises and employee security
- Primary Lead in Company Social activities – form a committee and plan and deliver calendar of events including managing budget
- Provide support as required for BD/Marketing events
- Physical general facilities tasks incl general office maintenance, environmental services eg: WFH hardware etc collection, waste management, recycling etc
- Oversight of completion of the Internal Authorised Signatory List
- Back up to other team members of their duties during absence periods eg: front of House duties eg: Visitor and hospitality services, Meeting room bookings
- Undertake any other duties as reasonably required

- Adaptable and willingness to learn new skills

- Able to balance multiple tasks/deliverables , seeking advice and/or guidance if required.
- Able to respond to ad-hoc requests/unknown events
- Able to resolve queries and find solutions timely.
- Excellent communication and interpersonal skills
- Obtain and maintain qualifications as required to fulfil role, incl Fire Marshall, First Aider, MHFA, DSE etc qualification
- Good working knowledge of MS Excel, Word and Outlook
- General ‘handyman’ type maintenance skills
- Clean driving license
- Relevant Experience
- Relevant experience in similar role
- Enthusiastic, self-motivated and excellent team player
- Ability to operate in compliance with relevant internal policies and procedures
