Facilities Administrator

We have an exciting opportunity to join our team in Jersey as a Facilities Administrator reporting to the Facilities Officer Channel Islands.
Facilities is an organisational function which integrates people, place and process within the building environment with the purpose of improving the quality of life of people and the productivity of the core business.
Key responsibilities:
Responsibilities are varied but typically include:-
- Undertake Scanning/Filing/Archiving deliverables
- Participation in various annual and ad-hoc projects eg: retention/data destruction projects
- General facilities administrative tasks using Work, Excel and Outlook – updating various trackers, invoice management, stationery mgt etc accurately and with harmonisation
- Maintaining internal authorised signatory lists
- Undertake general facilities duties including front of House duties eg: Visitor and hospitality services, Meeting room bookings, messenging, mailroom
- Liaison with third party/contractors as required eg; couriers etc
- Fulfil H&S policy duties and obtain/maintain any associated qualifications
- Undertake BCP activities as determined in BCP plan
- Be an active member of the Social Committee and help plan and deliver events
- Provide support as required for BD/Marketing events
- Physical general facilities tasks incl general office maintenance, environmental services eg: WFH hardware etc collection, waste management, recycling etc
- Undertake any other duties as reasonably required

Attributes/Technical Skills:
- Adaptable and willingness to learn new skills
- A committed professional team-player in providing quality support services
- Able to balance multiple tasks/deliverables , seeking advice and/or guidance if required.
- Able to respond to ad-hoc requests/unknown events
- Able to resolve queries and find solutions timely.
- Good communication and interpersonal skills
- Obtain and maintain qualifications as required to fulfil role, incl Fire Marshall, First Aider, etc qualification
- Good working knowledge of MS Excel, Word and Outlook
- General ‘handyman’ type maintenance skills
- Clean driving license
- Experience
- Relevant experience in similar role
- Enthusiastic, self motivated and excellent team player
- Ability to operate in compliance with relevant internal policies and procedures
- Accuracy and attention to detail
