Our opportunity for you:


Vistra is currently recruiting for a Senior Associate, Remediation to support the Client Acceptance and Entity Management team in on-boarding new managed client entities, and investors to facilitate the smooth transition of new business post approval acceptance for handover to the Private Wealth, Corporate, Private Equity, Capital Markets and Real Estate service delivery teams.



Key responsibilities:

Client Acceptance:

  • Support the team with the day-to-day administration involved in taking on new business, and assisting with all matters of the end to end process
  • Assist in risk management with particular regard to AML obligations
  • Complete the take on process for all new clients through to presentation of cases to the new business committee and subsequent handover to client handling teams
  • Complete post new business committee processing of packs
  • Handover of client to the admin teams, albeit by email, internal meeting or conference call with the client &/or their advisor
  • Assist directors and client handling teams with take on of additional entities for existing structures
  • Complete transfers of existing entities from other service providers where clients are moving to Vistra, including liaising with outgoing administrators, completing transfers of trusts, companies, foundations, GP/LP structures and any other structures which may be taken on including transfers of bank and investment accounts to a Vistra mandate
  • Set up new master files on the billing system as required by the business


File Review:

  • Timely execution of managed client entity file reviews.
  • Follow up on outstanding queries with the responsible file administrator or manager to ensure delays in execution of file reviews are managed appropriately.
  • Update and maintain the progress of and status of file reviews to the point of final sign off on the File Review tracker log.
  • ViewPoint inputting of file reviews and any action points.


Activity Management

  • Liaise with the New Business Manager and Head of New Business as and when required in respect to client take on and acceptance support.
  • Maintain various registers required by the business including the new business pipeline, cross referrals register, marketing register etc.
  • Assist the business in monitoring data quality through reviews of reports and assist in rectifying issues identified.
  • Supporting and providing guidance to the SSC team as required. 
  • Monitoring and timely escalation of issues to the CI Head of Client Acceptance and Entity Management.


File Review:

  • Liaise with the responsible file administrator and managers to ensure file reviews are signed off within the set timeline.
  • Escalate overdue sign off file reviews to responsible file manager and director.
  • Supporting and providing guidance to the SSC team as required. 
  • Monitoring and timely escalation of issues to the CI Head of Client Acceptance and Entity Management.



  • Comply with all Vistra Guernsey and Group policies and procedures relevant to role.
  • Comply with Anti-Money Laundering/Countering the Financing of Terrorism (AML/CFT) and Know Your Client (KYC) due diligence standards, laws and regulations for a wide range of clients with different legal structures and across multiple jurisdictions.
  • Report suspicious transactions to the Money Laundering Reporting Officer (MLRO) or equivalent duly designated person.



  • Maintain accurate and up to date records, ensuring records are filed and stored in line with internal standards and procedures.
  • Actively identify opportunities to change and improve operational excellency for Vistra Guernsey.
  • Contribute to projects initiatives, system changes or process enhancements that impact the Operations Function.



Attributes & Skills:

  • Technical skills – intermediate level computer skills (e.g. Microsoft Office) and sound knowledge and use of enterprise systems (e.g. customer relationship management (CRM) – ViewPoint).
  • Analytical skills – ability to deconstruct information to draw conclusions, demonstrating sound logical reasoning, critical thinking, communication, research, data analysis and creativity.
  • Time Management – ability to effectively organise, prioritise, and plan to efficiently execute workload.
  • Communication – strong active listening and clear expression of self, for effective communication and engagement of stakeholders, team members and colleagues.
  • Self-driven – to hold both self and team members accountable for performance and results, emphasizes personal responsibility in monitoring progress.


Relevant experience:                                                                                                                      

  • Fiduciary knowledge – Excellent understanding of Trust, Corporate and Fund Administration.
  • Compliance knowledge – Excellent understanding of AML/TF risks and sound knowledge of governance, compliance and risk.


Education/Professional Qualifications:

  • Ideally 5 years relevant experience working in Private Wealth and Funds, with at least 3 years at Senior Officer or Assistant Manager level.
  • Ideally to hold or working towards the Guernsey equivalent of the JFSC Table 5 qualification.
