Role Purpose

We are seeking a bilingual (English & Mandarin) Business Analyst / Project Manager to support the rollout, adoption, and ongoing configuration of our global workflow management platform across multiple markets, with a primary focus on Hong Kong and China. This role sits within the Finance Transformation Programme and combines business analysis, project coordination, and platform support capabilities.

The successful candidate will initially focus on supporting market go-lives (workflow deployment, hypercare, user enablement), then progressively take ownership of platform configuration, BAU support, and continuous improvement. As the programme matures, this role will evolve into a broader digital platform support function — providing operational and technical support across Vistra’s wider ecosystem of digital tools (including document management, client portals, reporting platforms, and enterprise integrations).

This is a hands-on, techno-functional role — not purely process advisory. It is designed for someone who wants to grow with the organisation’s digital transformation journey, not just deliver a single project.

Key Responsibilities

1.  Market Rollout Support (Primary – Near Term)

  • Support the deployment of standardised global workflows into Hong Kong, China, and other assigned markets using the enterprise workflow platform.
  • Gather market-specific requirements (local regulatory, language, operational nuances) and prepare localised templates.
  • Coordinate and support workflow design workshops with market stakeholders.
  • Manage market readiness activities: UAT coordination, data validation, go-live checklists.
  • Provide hypercare support post go-live — resolve user queries, track issues, escalate where needed.
  • Maintain rollout trackers, issue logs, and status reporting.

2.  Project Coordination & Stakeholder Management

  • Coordinate cross-functional activities across the programme team, market leads, and platform vendor.
  • Manage workshop scheduling, pre-work distribution, and follow-up actions.
  • Track deliverables, dependencies, and risks across assigned workstreams.
  • Prepare status updates and materials for programme governance forums.
  • Support the Programme Manager with planning, sequencing, and prioritisation decisions.

3.  Platform Configuration & Administration (Medium Term)

  • Learn and progressively own workflow platform configuration: work types, task templates, automations, and custom fields.
  • Set up and manage users, teams, and permissions within the workflow platform.
  • Configure email triage rules, automated assignments, and notification settings.
  • Support DMS (SharePoint) folder structure setup aligned with workflow requirements.
  • Test configurations, identify defects, and coordinate resolution with the vendor.

4.  BAU Support & User Enablement

  • Serve as first/second-line support for workflow platform queries from assigned market users.
  • Triage and resolve user issues; escalate complex configuration matters to vendor or senior team.
  • Develop and maintain user guides, FAQs, quick-reference materials (in English and Mandarin where needed).
  • Support training delivery and champion networks in-market.
  • Gather user feedback and translate into improvement recommendations.

5.  Wider Digital Platform Support (Post-Rollout Evolution)

Transition into a broader support role across Vistra’s digital platform ecosystem, including:

  • Document Management System — folder structures, permissions, metadata, templates.
  • Client Portal / Reporting Tools — user setup, configuration, troubleshooting.
  • Enterprise Integrations — supporting connectivity and data flows between business applications.
  • Future Digital Tools — onboarding and supporting new platforms as Vistra’s digital transformation agenda expands.
  • Contribute to building and operating a centralised Digital Transformation Support Model.
  • Support cross-platform process optimisation and automation initiatives.
  • Act as a bridge between business users and technology teams for operational digital queries.

6.  Continuous Improvement

  • Monitor workflow performance metrics and identify optimisation opportunities.
  • Propose workflow enhancements based on user feedback and operational data.
  • Support standardisation of best practices across markets.
  • Identify automation opportunities across digital platforms to reduce manual effort.

Qualifications & Experience

Education

  • Bachelor’s degree in Business, Finance, Accounting, Information Systems, Engineering, or related discipline.
  • Project management certification (PMP, PRINCE2, Agile/Scrum) is a plus.
  • Lean Six Sigma or process improvement certification is a plus.

Experience

  • 3–5 years of experience in business analysis, project coordination, or operations/systems support roles.
  • Experience supporting enterprise software implementations or rollouts (ERP, workflow platforms, CRM, or similar).
  • Familiarity with workflow/project management platforms (e.g., Monday.com, Asana, ServiceNow, Enate, or similar).
  • Experience with SharePoint or document management systems.
  • Background in professional services, accounting, tax, financial services, or corporate services environments preferred.
  • Experience working in multi-market or cross-border environments is a strong advantage.

Technical Skills

  • Platform configuration and administration (workflow tools, business rules, user management).
  • Process mapping and documentation (Visio, Lucidchart, Miro, or similar).
  • SharePoint configuration and folder/permissions management.
  • Data analysis and reporting (Excel, Power BI, or similar).
  • UAT planning, test case development, and defect tracking.
  • Documentation and SOP development.
  • Basic understanding of enterprise integrations (APIs, connectors, data flows) is a plus.

Language Requirements

  • Fluent in English and Mandarin (written and spoken) — mandatory.
  • Cantonese proficiency is a strong advantage for Hong Kong market support.
